These Terms of Service ("Terms") are a legally binding agreement between you and AppointHub, Inc. ("AppointHub," "we," "our," or "us"). They govern your access to and use of the AppointHub platform, including the web portal at https://appoint-hub.com, the AppointHub mobile application, and all associated APIs, content, and services (collectively, the "Services").
By creating an account, downloading the App, or otherwise using the Services, you agree to these Terms. If you do not agree, do not use the Services.

1. Eligibility
To use the Services you must:
- Be at least 18 years old (or have verifiable parental/guardian consent if you are at least 13 years old and applicable law in your jurisdiction permits it).
- Be legally capable of forming a binding contract under the laws of your jurisdiction.
- Not be prohibited from receiving the Services under applicable law (including U.S. export control and sanctions laws).
- If registering on behalf of a business entity, have authority to bind that entity to these Terms.
The Services are not intended for use by children under 13. See our Privacy Policy for details.
2. Accounts
2.1 Registration
You must create an account to use most features of the Services. You agree to provide accurate, current, and complete information during registration and to keep that information up to date.
2.2 Account Security
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must:
- Choose a strong, unique password.
- Enable multi-factor authentication (MFA) when required by your Business or when handling sensitive data.
- Notify us immediately at legal@appoint-hub.com if you suspect unauthorized access to your account.
AppointHub is not liable for any loss or damage arising from your failure to comply with these security obligations.
2.3 One Account Per User
Each individual may maintain only one consumer account. Business Users may have one account linked to multiple business entities provided each entity is a separately registered business within the platform.
2.4 Account Delegation
Consumers may designate delegates (e.g., caregivers, family members) who can manage or attend appointments on their behalf. Delegates must agree to these Terms and any applicable privacy notices. The account holder is responsible for all actions taken by their authorized delegates.
3. User Roles: Businesses and Consumers
3.1 Businesses
"Businesses" are organizations or individuals that register an AppointHub business account to list services, manage staff, accept bookings, and communicate with clients. By registering as a Business, you agree that:
- You are the owner of, or are authorized to operate, the business you register.
- You will maintain accurate and up-to-date business information (address, services, availability, staff).
- You are solely responsible for the services you offer, the qualifications of your staff, and compliance with all professional licensing, health, safety, and other regulations applicable to your industry.
- You will not engage in deceptive, misleading, or fraudulent advertising or booking practices.
- If you operate in a regulated healthcare field, you will execute a Business Associate Agreement (BAA) with AppointHub before using the platform to process PHI (see Section 8).
3.2 Consumers
"Consumers" are individuals who use the AppointHub mobile app to discover, book, and manage appointments with Businesses. By using the Services as a Consumer, you agree that:
- You will provide accurate information when booking appointments.
- You will honor appointments you schedule or provide timely cancellation in accordance with the Business's cancellation policy.
- You will use the messaging and delegate features in a respectful and lawful manner.
- AppointHub is a platform intermediary — we are not a party to the service agreement between you and any Business you book with, and we are not responsible for the quality, safety, timeliness, or legality of the services provided by Businesses.
3.3 Platform Intermediary Disclaimer
AppointHub does not employ, vet, or certify Businesses or their staff. All professional, clinical, or service relationships are between the Consumer and the Business. AppointHub facilitates the scheduling and communication between parties but bears no liability for the underlying services.
4. Acceptable Use
You agree not to:
- Violate any applicable local, state, national, or international law or regulation.
- Submit false or misleading information, impersonate any person or entity, or misrepresent your affiliation with any person or entity.
- Upload, transmit, or distribute any content that is unlawful, defamatory, harassing, abusive, fraudulent, obscene, or otherwise objectionable.
- Transmit spam, unsolicited commercial messages, or chain letters through the Services.
- Attempt to gain unauthorized access to any part of the Services, another user's account, or any computer system or network.
- Scrape, data-mine, reverse-engineer, decompile, or disassemble any part of the Services.
- Introduce viruses, malware, ransomware, or other harmful code into the Services.
- Use the Services to process payment card data outside of the designated payment-processing integrations.
- Use the Services in a manner that overburdens, damages, or impairs our infrastructure (e.g., automated abuse, denial-of-service attacks).
- Use the telehealth or messaging features to provide professional medical advice without the required licensure, or to diagnose, treat, or prescribe to patients outside a lawful provider-patient relationship established through proper channels.
- Use the location-tracking features for surveillance, stalking, or any purpose outside of facilitating a legitimate mobile-service appointment.
- Resell, sublicense, or otherwise commercialize access to the Services without our prior written consent.
We reserve the right to investigate and take appropriate action — including suspending or terminating your account — for any violation of these restrictions.
5. Appointment Booking and Management
5.1 Booking
When a Consumer books an appointment through the Services, the booking constitutes a request to the Business. The appointment is confirmed only when the Business accepts it (either automatically or manually). AppointHub is not responsible for Business confirmation delays.
5.2 Cancellations and No-Shows
Each Business may establish its own cancellation policy. Consumers should review a Business's cancellation terms before booking. AppointHub may facilitate cancellation notifications but is not responsible for any fees, penalties, or consequences arising from late cancellations or no-shows.
5.3 Rescheduling
Either party (Consumer or Business) may initiate a reschedule request through the platform. Rescheduling is subject to availability and the Business's policies. Where a Business-initiated reschedule allows the Consumer to cancel instead, the Consumer's decision to cancel is final and may be subject to the Business's cancellation policy.
5.4 Mobile (Come-to-You) Services
For Businesses offering mobile services, the Consumer must provide an accurate service address. The Consumer consents to sharing their location for the purpose of coordinating the appointment. AppointHub's travel-tracking feature is provided as a convenience and does not guarantee arrival times or service delivery.
5.5 Telehealth and Voice Calls
Telehealth video sessions and voice-call features are subject to availability per Business. These features are communication facilitators only; they do not create a clinical relationship between AppointHub and any patient.
6. Payments and Subscriptions
6.1 Business Subscription Fees

AppointHub may offer free and paid plans for Businesses. Paid plans are billed on the cycle specified at signup (monthly or annually). Fees are non-refundable except as required by law or as stated in any applicable refund policy.
6.2 Payment Processing
Payments are processed by our third-party payment processor. By providing payment information, you authorize us (and our processor) to charge your payment method on the billing cycle you selected. You are responsible for keeping your payment details current.
6.3 Taxes
You are responsible for all applicable taxes related to your use of the Services. Where required, AppointHub will collect and remit taxes on your behalf.
6.4 Consumer Transactions
AppointHub does not process Consumer-to-Business payments within the platform unless a Business has specifically enabled an integrated payment feature. All financial arrangements for services rendered are between the Consumer and the Business.
6.5 Free Trials
Where AppointHub offers a free trial, you may be required to provide payment details upfront. Unless canceled before the trial expires, your subscription will automatically convert to a paid plan at the applicable rate.
7. Content You Submit
7.1 Your Content
You retain ownership of content you submit to the Services (such as business logos, profile information, intake-form templates, messages, and reviews). By submitting content, you grant AppointHub a non-exclusive, worldwide, royalty-free license to host, store, process, transmit, display, and otherwise use your content solely to the extent necessary to provide and improve the Services.
7.2 Content Standards
You are solely responsible for the accuracy, legality, and appropriateness of content you submit. We reserve the right to remove content that violates these Terms or applicable law.
7.3 Feedback
If you provide suggestions, feedback, or ideas about the Services, you grant AppointHub a perpetual, irrevocable, royalty-free license to use such feedback without compensation or attribution to you.
8. HIPAA and Healthcare Businesses
Healthcare Businesses must execute a Business Associate Agreement (BAA) with AppointHub before using the Services to process Protected Health Information (PHI). Use of the Services to process PHI without an executed BAA is a material breach of these Terms.
By accepting these Terms and registering as a healthcare Business:
- You represent that you are a HIPAA Covered Entity (or Business Associate) as applicable.
- You agree to use the Services only in compliance with HIPAA and all applicable state health information privacy laws.
- You accept responsibility for obtaining all required patient consents and authorizations before collecting PHI through the platform (including intake forms and messaging).
- You agree to train your staff on HIPAA obligations and appropriate use of the platform.
AppointHub's HIPAA obligations as your Business Associate are set forth in the BAA. The BAA governs to the extent of any conflict with these Terms regarding PHI.
9. Intellectual Property
9.1 Our Intellectual Property
The Services, including the software, design, text, graphics, logos, icons, and other content provided by AppointHub, are owned by AppointHub or our licensors and are protected by copyright, trademark, and other intellectual property laws. You may not copy, modify, distribute, sell, or lease any part of the Services or underlying software without our prior written consent.
9.2 License to Use the Services
Subject to your compliance with these Terms, we grant you a limited, non-exclusive, non-transferable, revocable license to access and use the Services for your personal or internal business purposes.
9.3 Feedback
See Section 7.3.
10. Third-Party Services and Links
The Services may integrate with or link to third-party services (e.g., Daily.co for telehealth, Twilio for SMS, payment processors). Your use of those third-party services is subject to their own terms and privacy policies. AppointHub does not endorse and is not responsible for the content, availability, or practices of third-party services.
11. Disclaimers
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:
THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR UNINTERRUPTED OR ERROR-FREE OPERATION.
APPOINTHUB DOES NOT WARRANT THAT: (A) THE SERVICES WILL MEET YOUR REQUIREMENTS; (B) THE SERVICES WILL BE AVAILABLE AT ANY PARTICULAR TIME OR LOCATION; (C) ANY ERRORS OR DEFECTS WILL BE CORRECTED; OR (D) THE SERVICES ARE FREE OF VIRUSES OR OTHER HARMFUL COMPONENTS.
APPOINTHUB IS A PLATFORM INTERMEDIARY. WE ARE NOT RESPONSIBLE FOR THE QUALITY, SAFETY, LEGALITY, ACCURACY, OR APPROPRIATENESS OF ANY SERVICES OFFERED OR PROVIDED BY BUSINESSES THROUGH THE PLATFORM. CONSUMERS ENGAGE WITH BUSINESSES AT THEIR OWN RISK.
NOTHING IN THESE TERMS LIMITS OR EXCLUDES ANY LIABILITY THAT CANNOT BE EXCLUDED BY APPLICABLE LAW (SUCH AS DEATH OR PERSONAL INJURY CAUSED BY OUR NEGLIGENCE, OR FRAUD).
12. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:
IN NO EVENT WILL APPOINTHUB, ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, PARTNERS, SUPPLIERS, OR LICENSORS BE LIABLE FOR ANY:
- INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES;
- LOSS OF PROFITS, REVENUE, DATA, GOODWILL, BUSINESS OPPORTUNITY, OR ANTICIPATED SAVINGS;
- DAMAGES ARISING FROM YOUR INABILITY TO ACCESS OR USE THE SERVICES;
- DAMAGES ARISING FROM UNAUTHORIZED ACCESS TO YOUR ACCOUNT OR TRANSMITTED DATA;
EVEN IF APPOINTHUB HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
IN ALL CASES, APPOINTHUB'S TOTAL AGGREGATE LIABILITY TO YOU FOR ALL CLAIMS ARISING FROM OR RELATED TO THESE TERMS OR THE SERVICES WILL NOT EXCEED THE GREATER OF: (A) THE AMOUNTS YOU PAID TO APPOINTHUB IN THE TWELVE (12) MONTHS IMMEDIATELY PRECEDING THE CLAIM; OR (B) ONE HUNDRED U.S. DOLLARS (USD $100).
Some jurisdictions do not allow the exclusion of certain warranties or limitation of liability for consequential damages. If you are in such a jurisdiction, some of these limitations may not apply to you.
13. Indemnification
You agree to indemnify, defend, and hold harmless AppointHub, its affiliates, officers, directors, employees, agents, and licensors from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable attorneys' fees) arising out of or related to:
- Your use of the Services in violation of these Terms;
- Your violation of any applicable law or the rights of any third party;
- Content you submit to the Services;
- Your operation of a Business on the platform, including professional liability, regulatory violations, or consumer harm;
- Any dispute between you and another user.
AppointHub reserves the right to assume exclusive defense and control of any matter subject to indemnification by you, at your expense.
14. Termination
14.1 Termination by You
You may close your account at any time by using the in-app account-deletion feature or by contacting legal@appoint-hub.com. Prepaid fees are non-refundable unless required by law.
14.2 Termination by AppointHub
We reserve the right to suspend or terminate your account and access to the Services at any time, with or without notice, for:
- Violation of these Terms or our policies;
- Non-payment of subscription fees;
- Prolonged inactivity (as defined in our policies);
- Legal requirement or court order;
- Any other reason at our sole discretion.
14.3 Effect of Termination
Upon termination:
- Your right to access the Services ceases immediately.
- We will retain your data as required by law and our Privacy Policy.
- Business Users may request an export of their data within 30 days of termination.
- Provisions of these Terms that by their nature should survive termination (including Sections 8, 9, 11, 12, 13, 15, and 17) will survive.
15. Dispute Resolution and Governing Law

15.1 Governing Law

15.3 Binding Arbitration

These Terms (together with our Privacy Policy, any BAA, and any supplemental terms applicable to specific features) constitute the entire agreement between you and AppointHub regarding the Services and supersede all prior agreements.
17.2 Severability
If any provision of these Terms is found invalid or unenforceable, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.
17.3 Waiver
Failure to enforce any right or provision of these Terms will not constitute a waiver of that right or provision.
17.4 Assignment
You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations without restriction.
17.5 Force Majeure
AppointHub will not be liable for any failure to perform obligations where such failure results from circumstances beyond our reasonable control, including natural disasters, war, terrorism, labor disputes, or internet service failures.
17.6 Language
These Terms are written in English. To the extent any translated version conflicts with the English version, the English version controls.
